Plan Orlando wedding transportation around three runs: getting the wedding party ready and to the ceremony, moving guests between the ceremony and reception, and getting everyone home safely at the end of the night. Book one vehicle for the couple and wedding party, and a separate one for guests. Charter hours run back-to-back and can’t be split, so the timeline you build decides how many hours you pay for.
Here is how to build that timeline, which vehicle fits each part of the day, and the booking rules that affect your total.
Step 1: Write the day down as a list of runs
Before you ask for a quote, write out every move that needs a vehicle, with a time and an address for each. A typical Orlando wedding looks like this:
- Pickup for the wedding party at the hotel or home where everyone is getting ready.
- Arrival at the ceremony, with time for photos before or after.
- Ceremony to reception, including any photo stop on the way.
- The grand exit for the couple at the end of the night.
- Late runs back to the hotels for guests.
If the ceremony and reception are at the same venue, the middle runs disappear and you may only need a one-way transfer for the couple and a guest shuttle at the end of the night.
Step 2: Decide between one long charter and separate bookings
A charter is the vehicle and chauffeur for a block of hours. With Happy Limo:
- Hours run back-to-back. You can’t book two hours in the afternoon and two more at midnight on the same charter.
- Stops are free. The vehicle is yours for the time you booked, so you can stop for photos, a quick stop at the hotel, or a second venue at no extra charge.
- Overtime is billed in full hours. Going over by 16 minutes is billed as one full extra hour at your vehicle’s rate.
- Unused time isn’t refunded. The vehicle is held for you for the full booking.
If there is a long gap between the ceremony and the end of the reception, it is often cheaper to book the couple’s vehicle for the afternoon and a separate vehicle for the late guest runs than to keep one vehicle waiting all evening. Tell us the full timeline and we will price it both ways.
Step 3: Match each group to a vehicle
These are the vehicles and hourly rates shown on our rates and fleet page. Hourly rates are for in-town local charters in the Orlando area; a mandatory 20% gratuity and 5% fuel surcharge are added to all hourly jobs.
| Who is riding | Vehicle | Passengers | Hourly rate | Minimum |
|---|---|---|---|---|
| The couple | Atlas SE mid-size SUV | Up to 4 | $70 | 3 hours |
| Parents or grandparents | Toyota Sienna minivan | Up to 5 | $75 | 3 hours |
| The couple plus a few family | Chevrolet Suburban full-size SUV | Up to 6 | $90 | 3 hours |
| Small wedding party | Mercedes-Benz Sprinter limo / party bus | Up to 10 | $150 | 3 hours |
| Wedding party | 14-passenger Suburban stretch limo | 12 to 14 | $175 | 3 hours |
| Large wedding party | 18-passenger Suburban super stretch limo | 16 to 18 | $200 | 3 hours |
| Guests, practical option | Ford Transit low-top or high-top van | Up to 10 / up to 14 | $90 / $100 | 3 hours |
| Guest shuttle | 14-passenger mini bus | Up to 14 | $115 | 5 hours |
| Guest shuttle | 22-passenger luxury mini bus | Up to 22 | $135 | 5 hours |
| Guest shuttle | 28-passenger mini bus or luxury mini bus | Up to 28 | $150 / $175 | 5 hours |
| Large guest list | 56-passenger motor coach | Up to 56 | $175 | 5 hours |
More than 56 guests to move? We combine vehicles; call us to plan it.
A common pairing is a stretch limo or the Sprinter for the couple and wedding party, and a mini bus or motor coach for guests. The limo gets the photos and the grand exit; the bus makes sure nobody drives home from the reception.
Step 4: Look at the wedding packages
If the couple only needs the 14-passenger Suburban limousine, our wedding packages may be simpler than an hourly booking. Package prices include gratuity, and every package includes a roll-out red carpet, a “just married” sign, complimentary bottled water and a professional chauffeur.
- Budget: a one-way local transfer within Orlando, Lake Buena Vista, Maitland, Altamonte Springs or Kissimmee. A higher rate applies elsewhere.
- Bronze, Silver and Gold: 3, 4 and 5 hours of local charter.
- Platinum: a 7-hour local charter where you pay for the first 6 hours and the 7th is free.
The packages are for the 14-passenger Suburban limousine only. For a larger limo or several vehicles, ask for a quote.
Step 5: Build in buffer, because wait time is billed
Wedding days run late. At a hotel, a home or a venue, the first 15 minutes after the scheduled pickup time are free. After that, waiting is billed at the hourly rate of the vehicle you booked, pro-rated. Package bookings carry the same rule: wait-time charges apply if the party isn’t ready at the scheduled time or the chauffeur is asked to stay after arriving.
The practical fix is to schedule pickups for when people will actually be at the curb, not when hair and makeup is supposed to finish, and to build 15 to 30 minutes of slack into a charter rather than paying overtime in full hours.
Rules that catch wedding parties out
- Peak dates cost more. Charters normally have a 3- to 5-hour minimum depending on the vehicle and season. During prom season and special events, all limos and buses have a 6-hour minimum.
- Children need seats. Children 5 and under must ride in a child seat. We provide them for $15 per seat, per leg, if you request them when you book. You install them; chauffeurs can’t, for liability reasons.
- No smoking in any vehicle, including e-cigarettes.
- Illness is expensive. If someone is sick in the vehicle, the cleaning charge is a minimum of $300, because the vehicle has to come out of service.
- Out-of-town costs extra. Hourly rates are for local charters. If your venue is outside the Orlando area, call for a quote.
- Cancellation windows differ. Hourly charters must be cancelled at least 7 days before service for a full refund. See our FAQ for the full policy, including charter buses.
